General Meeting: Move-A-Thon and Year-End Planning

Moveathon

The two weeks of Moveathon were officially over, but donations were still being accepted through May 31. Donations after that cutoff would count toward the next year’s distribution. The notes reported 329,137 raised toward the $500,000 goal. The previous year also had a $500k goal and a similar total before a $200k donation increased it.

Fifth-grade activities

A Jefferson outing and promotion were being planned. Volunteers were needed to help produce a yearbook.

End-of-year planning

Discussion covered a possible end-of-year closeout, summer planning, and leadership going into the next school year. No NHAAPI gathering was planned at the time.

Hiring

Dr. James Mercer was identified as the Executive Regional Director during discussion of the hiring process and timeline.

Field Day

Parent volunteers were sought for Field Day. Lunch was included.

SESSFA site leader

A Kimball site leader was sought for SESSFA. The role included meetings every other Wednesday, organizing or co-leading an in-person Moveathon event, serving as the primary contact with SESEC and SESSFA, and collaborating with other schools and PTSAs. Some schools held joint community events. The notes described approximately 1.5 hours of meetings every two weeks.

SESSFA workgroup roles

Workgroup leaders were also sought for advocacy, Moveathon details, and finances, meeting on the opposite Wednesdays. SESSFA wanted a representative for each group and had job descriptions available. Other team members held institutional knowledge.

School supplies

The estimated need for student school supplies was $6–8k. Contributions had been lower the previous year. Updating prior Cougar Connection messages to explain the purpose and process of contributions was proposed.

PTSA budget and reserves

The discussion favored keeping enough reserves for a full school year of expenses. Budget and actual spending could vary because incoming funds and expenses occurred at different times, teachers might or might not request supplies or field-trip funding, and new projects such as the garden or ribbon-cutting could arise. The notes reported about three years and some additional savings, at approximately $40k per year. Participants described a two-year maximum reserve guideline and a plan to spend down reserves while doing less fundraising and collaborating through Moveathon.

Recruiting

Publicizing open roles in advance, including at in-person events, was proposed to support recruitment and planning.
