Kimmy (the “App”) is an afterschool program management system operated by Kimball Elementary PTSA. This privacy policy describes how we collect, use, and protect information when you use the App.

Information We Collect

We collect information necessary to run the afterschool clubs program:

• Registration and enrollment data: Student names, grades, guardian names, contact information, emergency contacts, and information submitted through registration forms (e.g., Google Forms).
• Google sign-in: When you sign in with Google, we receive your email address and name. We use this to authenticate admin users.
• Gmail: With your consent, we access the club Gmail inbox to sync and manage emails related to the program (e.g., parent inquiries, vendor communications).
• Payment information: We store payment status and transaction identifiers from Square and PayPal. We do not store full credit card numbers.
• Donation data: Names and amounts for PTSA donations, when applicable.

How We Use Information

We use the information to:

• Manage club registrations, enrollments, and rosters
• Process payments and send invoices
• Communicate with families about the program
• Sync and respond to emails in the club inbox
• Generate forms, flyers, and other program materials

Third-Party Services

The App uses the following third-party services. Each has its own privacy policy:

• Google: Sign-in (OAuth), Gmail API, Google Forms, Google Drive. Google Privacy Policy

• Google Cloud (Kimmy): School assistant content generation (e.g., flyers, translations). Google Privacy Policy

Data is stored on Google Cloud (Cloud SQL, Cloud Run). We do not sell or share your information with third parties for marketing purposes.

Data Retention and Security

We retain data for as long as needed to operate the program and satisfy legal or administrative requirements. Access to the App is restricted to authorized PTSA administrators. We use industry-standard security measures, including HTTPS and secure storage.

Your Rights

You may request access to or correction of your personal information by contacting us at the email above. Parents and guardians can request that we update or remove student information where appropriate.

Changes

We may update this privacy policy from time to time. The “Last updated” date at the top reflects the most recent revision.
